Terms of Use for the SquadTics App

Last updated: October 2026

This is an English translation provided for your convenience. Only the German version is legally binding (section 2.2).

Summary

This summary is a reading aid and not part of the contract. The binding text starts at section 1.

  • SquadTics is an app that teams use to get organised. It is free and shows ads.
  • The contract is concluded when you create an account and agree to these terms. Anyone under 18 needs their parents' consent. Parents can write to us at any time if they do not agree with their child's account. We will then delete it.
  • Anyone who enters other people may only do so for their own team and lets them know, and for minors the parents too. Health information does not belong in the app. What coaches need to observe is set out in section 6.
  • The team kitty is a notebook. No money flows through the app.
  • Insulting, exposing others and unlawful content are prohibited. You can report such things to [email protected]. In the event of breaches, we can delete entries, block an account or terminate the contract. There is no contractual penalty.
  • You can leave at any time: deleting your account is enough. In the first 14 days, you can also withdraw. For you, this has the same result: we delete your account.
  • New terms only apply if you agree. If you do not agree, we can end the contract with four weeks' notice and delete your account. We will tell you this by email beforehand.

For everything about the app and this contract, write to [email protected]. For data protection matters, there is [email protected]. We read both mailboxes, so your message will also arrive if you use the other address.

In this text, SquadTics UG is referred to as "we" and the program as "the app". A "team" is the squad or group as it is set up in the app. "Owner", "coach", "player" and "parents" always refer to people of all genders. "Parents" means parents or other legal guardians, for example a guardian appointed by a court. Where we address young people directly, this is marked.

1. What this is about and who these terms apply to

1.1 SquadTics is an app for iPhone (iOS) and Android. Coaches and their teams use it to organise their day-to-day: training, matches and everything around them.

1.2 These terms govern the contract between you and us regarding the use of the app. They apply to everyone who creates an account: coaches, players and parents with parent access.

1.3 Anyone who does not have their own account but is only entered by a coach as a player or guest player does not conclude a contract with us. These terms do not apply to these people. The Privacy Policy applies to them. An entered player can later create their own account via an invitation from their coach and take over their player profile. These terms then also apply to them.

2. How the contract is concluded

2.1 The contract is concluded when you create an account in the app and agree to these terms. To do so, you tick the box next to the sentence "I agree to the Terms of Use. I am at least 18 or my parents agree." The box is not pre-ticked. The account can only be created once you have ticked it.

Right next to it are links to these terms and to the Privacy Policy, so that you can read both in peace beforehand. Until you complete the account creation, you can change your entries or cancel.

This applies to every way in which an account is created:

  • registration with your email address
  • sign-in with your Google account
  • sign-in with your Apple account
  • invitation to a team
  • parent invitation

2.2 The app is available in German and English. The contract language is German. The German version of these terms is authoritative. If we provide a translation, it is only a reading aid.

2.3 The version of these terms that you agreed to applies to you. The current version is always available on our website at squadtics.com/de/terms (German) and squadtics.com/en/terms (English translation). You can save and print the text there. In the app, you will find a link to it under Settings → Legal. We do not keep a separate copy for each user. Save the text yourself if you want to keep it. We will send you earlier versions by email on request.

2.4 If you already had an account before this version was published, the app shows you a window with a link to these terms and asks for your agreement. This version only applies to you once you have agreed there. Until then, you can continue to use the app, and the previous version applies to you (section 9.3).

3. Under 18 – and parent access

For you, if you are not yet 18

3.1 If you are not yet 18, you may only create an account if your parents agree. Show them these terms and the Privacy Policy beforehand.

3.2 When you create the account, you confirm this by ticking the box next to the sentence "I am at least 18 or my parents agree". We do not ask for your age and we do not verify the consent.

3.3 As long as your parents do not agree, the contract does not yet apply. You then do not have to fulfil anything under this contract. However, you should only use the app once your parents agree. Otherwise, we may delete your account.

For parents

3.4 You can write to us at any time: [email protected]. If you do not agree with your child's account, we will delete it. We will check beforehand to make sure that the message really comes from the parents. What then happens to the data is set out in section 10.4. Your child's player profile is deleted along with the account. However, the coach can then enter your child again as a player without an account. If you do not want that, please say so. We will then tell the coach. If they enter your child again anyway, write to us; we will remove the entry (Privacy Policy, section 16). If your child does not have their own account and is only in the app as an entered player, you can likewise request that the player profile be removed.

3.5 Children under 7 cannot conclude a contract themselves. An account of their own is not intended for them. A coach can enter them as a player, and you can use parent access.

3.6 With parent access, you accompany your child in the app. You get it via an invitation from the coach. With it, you can see your child's player profile, the team's events and your child's absences, as well as everything that all members of the team can see. You can respond to events for your child (attending or not attending) and enter an absence.

3.7 Anyone using parent access creates their own account and concludes this contract themselves, in their own name. Only use parent access for a child for whom you have parental responsibility or for whom you act with the knowledge of those who have parental responsibility.

4. What the app does and what it costs

4.1 You use the app to organise your team. This includes:

  • squad list and player profiles, also for players without their own account
  • guest players who help out at individual events (section 6.9)
  • events, for example training and matches, with location
  • responses (attending or not attending), absences and attendance
  • line-ups and the squad for an event. When the coach releases the squad, players see who is selected.
  • duties and duty rosters
  • the team kitty (section 4.3)
  • a calendar subscription that lets you see events in your own calendar (section 5.2)
  • notifications on your phone: when an event is created, changed or cancelled, when the squad is released, as a reminder to respond to an event, as a reminder of an upcoming event and when a fine is entered. You choose which ones you receive under Settings → Notifications.

You can see the exact scope in the app. The app runs on iPhones and Android phones and requires an internet connection. The minimum operating system version required is stated in the App Store and on Google Play.

4.2 The app is free for you. There are no paid subscriptions, no in-app purchases and no payment function. The app shows ads. The ads are delivered by Google. You can decline advertising that is tailored to you: if the app asks you about it, you can decline there. You will then continue to see ads, just not tailored to you. You can change your choice later: Settings → Legal → Privacy Settings. The ads cannot be switched off completely. Anyone who does not want any ads at all cannot use the app. Which data is processed for advertising and what applies to players, coaches and parents is set out in the Privacy Policy (section 8). You bear the costs of your internet connection yourself.

4.3 The team kitty is a notebook for your team. Income and expenses can be recorded there. Fines according to the team's list of fines and monthly fees can be assigned to individual players and marked as paid or waived. Fines and fees are set by the team itself, not by us.

  • Who manages the kitty: the treasurer and the coaches. They create and change entries and see all fines and fees.
  • What players see: the kitty with its entries, the list of fines and their own outstanding fines and fees.
  • Paid fines: When a fine is marked as paid, it appears as an entry in the kitty. All members of the team see this entry, with the player's name.

No money flows through the app. What members of a team owe and pay each other, they settle among themselves. We are not involved in this and do not check the entries. The team kitty does not replace bookkeeping. Please also keep a record of important information such as the kitty balance yourself.

4.4 You may use the app for your team as long as this contract runs. You may not copy, modify or resell the app.

4.5 We make sure the app runs. Due to maintenance or disruptions, it may nevertheless be temporarily unavailable. We fix disruptions as quickly as possible. Your rights in the event of defects remain unaffected (section 11).

4.6 As long as this contract runs, we provide updates that are necessary for the app to work as agreed and securely. You receive them via the App Store or Google Play. We will point out an update to you and tell you what may happen without it. If you nevertheless do not install the update within a reasonable time, we are not liable for errors that occur solely for this reason (Section 327f of the German Civil Code, BGB). Very old versions of the app may one day stop working. We will let you know beforehand.

5. Your account, your team, your role

5.1 Provide correct information when you create your account, especially your name. Each person uses their own account. Keep your login details secret. If you believe someone else is using your account, please write to us immediately.

5.2 Only share invitation links and the calendar subscription link with the people they are intended for. Anyone who knows the calendar subscription link can retrieve the calendar data. The calendar subscription only contains the type, time and location of events, no names and no responses. You can only switch off the subscription in your own calendar app, by removing the subscribed calendar there. This is not possible in SquadTics. When you leave a team, the link for that team becomes invalid. If you want it to become invalid earlier, for example because you shared it by mistake, write to us: [email protected].

5.3 A team has four roles and one additional task:

  • The owner is whoever created the team or to whom it was transferred. The owner can create and change events and remove members from the team. In addition, only the owner can request that the team be deleted (section 5.6).
  • Coaches lead the team in the app. They can edit the team, enter players, create and change events, release the squad for an event and enter guest players. They can enter responses and absences for any player. Only coaches enter attendance at an event.
  • Players see their team's events. They can enter their own absences. They can respond themselves if the team allows it, and only until the event's deadline. Players cannot create events.
  • Parents accompany their child with parent access. They can respond for their child and enter an absence (section 3.6).
  • Treasurer is not a separate role but an additional task for a team member. The treasurer manages the team kitty together with the coaches (section 4.3).

The owner and every coach can remove a member from the team. Every member can leave the team themselves.

5.4 Events, attendance, line-ups and entries in the team kitty belong to the team. The team still needs them, even if a member leaves the team or deletes their account. They therefore remain in the team, but without the member's name and only for as long as the time limits in the Privacy Policy (section 14) provide. Anyone who has left a team can no longer see its entries in the app.

5.5 If a coach leaves the team, the team remains. If the owner deletes their account, the team also remains. Another coach of the team then becomes the owner. If you are the only coach, please write to us before you delete your account: [email protected]. Otherwise, there is no one who can take over the team.

5.6 A team cannot be deleted in the app. This is only possible through us. Only the team's owner can request it: by email to [email protected], from the email address of their account. We will check if we are not sure that the message comes from the owner. We will then delete the team with all its entries within one month of the owner's message. The members' accounts remain. Let your team know beforehand, and note down anything you still need, for example the kitty balance.

6. If you enter other people – your duties as a coach

6.1 This section applies to everyone who enters information about others in the app. These are mainly coaches and the treasurer.

6.2 We are and remain responsible for the protection of the data in the app. The following rules do not change this. They are intended to ensure that nobody is in the app without knowing it. If you do not comply with them, we can delete entries, warn you, block your account or terminate the contract (section 8.4). These terms provide for nothing more: no contractual penalty and no liability beyond what the law provides.

6.3 Only enter people who belong to your team or take part in an event as a guest player (section 6.9). Only enter them if you are entitled to do so, for example because you lead the team as coach or team staff.

6.4 Tell the people you enter that you use SquadTics and which information you enter about them. For minors, tell the parents as well. For this information, letting them know is enough. You do not need consent or a signature for it. To help you let them know, we provide a short information text in the app for you to forward. Before you enter someone for the first time, you confirm once in the app that you are allowed to enter them and that you let these people know.

6.5 For pictures, letting people know is not enough. The app does not ask for consent when profile and team pictures are uploaded. You must take care of this yourself: only upload a picture showing someone else if you have that person's consent, and for minors the parents' consent. This also applies to team photos (section 7.1).

6.6 Only enter what your team needs for organisation. Do not write health information in notes or other free text fields. This includes injuries, illnesses, diagnoses, medication and allergies. The app does not ask for this for an absence either: anyone who does not want to state the reason selects "Not available". Every player and, for minors, their parents can ask us what is stored about them. This also applies to your notes on a player (Privacy Policy, section 15). Write notes in such a way that the player could read them.

6.7 If someone does not want to be in the app or no longer wants to be, remove the profile or pass the request on to us: [email protected]. For minors, this also applies to the parents' request.

6.8 You do not have to check whether a player's parents agree to the player's own account (section 3).

6.9 Guest players are people who do not belong to your team but help out at individual events. Only coaches can enter, change and delete them. For a guest player, you only enter a name. A first name is enough if it is clear in the team who is meant. They do not get an account or an invitation. All members of the team can see at which events they are in the squad or the line-up. Otherwise, the same rules apply to guest players as to entered players (sections 6.3 to 6.7): only enter people you are allowed to enter, let them know, and for minors the parents too, and delete the entry if they wish.

7. Rules of use and your content

7.1 The following is not permitted in the app:

  • insulting, threatening, exposing or bullying others, including in notes, events or entries in the team kitty
  • uploading pictures showing other people without their consent, and for minors without the parents' consent
  • posting content that breaks the law, for example hate speech, depictions of violence or sexual content
  • using other people's accounts or pretending to be someone else
  • attacking the technology, circumventing security measures, introducing malware or automatically extracting data
  • using the app for anything other than organising a team, for example for advertising

7.2 Your content remains your content. When you post pictures or texts in the app, you allow us to store them and show them to the members of your team. This applies until you delete the content or this contract ends. Section 5.4 applies to entries that belong to the team. Only post what you are allowed to show.

8. Reporting content and what we do in the event of breaches

8.1 If you see something in the app that is unlawful or breaches section 7, report it to us by email to [email protected]. Please state what you are reporting, where it is (team, event or profile), why you consider it inadmissible and how we can reach you.

8.2 We will confirm receipt. We check every report promptly and carefully. We will then tell you what we have decided and what you can do if you disagree.

8.3 We do not continuously review the content in the teams. No program automatically checks what you write or upload. We take action when something is reported to us or comes to our attention. Every report is reviewed by a person from our team.

8.4 In the event of a breach of these terms or of a law, we can delete individual entries, warn you, block your account or terminate the contract. We choose the mildest measure that is sufficient. In doing so, we take into account how serious the breach is, whether it is repeated and whose rights are affected.

8.5 Before we block or terminate an account, we will tell you the reason and give you the opportunity to respond. In the case of serious breaches, we may act immediately, for example in the case of threats, criminal content or attacks on the technology. We will then let you know as soon as possible afterwards. You can then respond afterwards.

8.6 We give reasons for every decision under section 8.4. We state the rule or law and the facts on which we base it. If you disagree, write to [email protected]. We will then review the case again. The courts are always open to you.

8.7 If we learn of a criminal offence that threatens people's lives or safety, we inform the police.

8.8 Our point of contact for users and authorities is [email protected]. You can reach us there in German and English.

9. Changes to the app and to these terms

9.1 We are developing the app further. We may change the app if there is a valid reason for it. Valid reasons are:

  • new or improved features
  • security and data protection
  • bug fixes and technical adjustments, for example to new versions of iOS or Android
  • requirements from Apple or Google
  • changes in laws, court rulings or orders from authorities
  • a feature is hardly used or can only be operated further with excessive effort

You incur no costs as a result of a change. We will inform you clearly and comprehensibly about the change.

9.2 If a change noticeably restricts your use of the app (more than only insignificantly), we will inform you by email in good time beforehand. We will tell you what is changing and when. You can then end the contract free of charge within 30 days. The period begins when you receive our information, at the earliest with the change. Your right to terminate at any time (section 10.2) remains unaffected.

9.3 We only change these terms with your agreement. We show you a new version in the app in a window. We briefly explain what is changing and ask for your agreement. Only once you agree does the new version apply to you. If you do not agree, you can continue to use the app, and the previous version continues to apply to you. We may then terminate the contract in accordance with section 10.3. If you are not yet 18: please show the new version to your parents before you agree.

9.4 If we only correct typing errors or details such as our address, we will inform you without asking for your agreement. This does not change your rights and obligations.

10. Term, termination, withdrawal and deletion

10.1 The contract runs for an indefinite period. There is no minimum term.

10.2 You can end the contract at any time without notice. To do so, delete your account in the app under Settings → Account → "Delete account". You can also write to us: an email to [email protected] from your account's email address, ideally with the subject "Account deletion". If you no longer know which address that is, write to us anyway. We will then check. The instructions are also on squadtics.com under "Delete account".

10.3 We can terminate the contract with four weeks' notice, for example if we discontinue the app. We terminate by email. For good cause, either party can terminate without notice, for example in the event of a serious breach. Section 8 applies to termination due to a breach. When the contract ends, we delete your account (section 10.4). A team of which you are the owner remains (section 5.5).

10.4 When your account is deleted, the contract ends. You can no longer sign in. Your team memberships end, you no longer receive notifications, and other users can no longer see your account. We delete your account and your name immediately. Entries that belong to the team (section 5.4) remain in the team without your name until the time limits in the Privacy Policy (section 14) have expired. If you would like content you created yourself, for example your own texts and pictures, as a file, we will provide it to you in a common format. Ideally, write to us about this before you delete your account. Your right to this continues afterwards. This does not apply to entries that belong to the team.

10.5 You can also withdraw from this contract within 14 days of creating your account without giving reasons. To do so, it is enough to delete your account within the first 14 days; we treat this as a withdrawal. You can also send us an email: [email protected]. The details are in the withdrawal instructions in the annex. A withdrawal costs you nothing. We then delete your account as in the case of termination (section 10.4).

11. If something does not work – and what we are liable for

11.1 If the app does not work as it should, please write to us: [email protected]. You have the statutory rights in the event of defects in digital products (Sections 327 et seq. of the German Civil Code, BGB). These terms do not restrict these rights.

11.2 We are liable without limitation

  • in the case of intent and gross negligence, i.e. if we breach the necessary care to a particularly serious degree,
  • for damage to life, body or health,
  • under the German Product Liability Act,
  • if we fraudulently concealed a defect or gave a guarantee.

11.3 In the case of slight negligence, i.e. a simple oversight, we are only liable if we breach an essential obligation. An obligation is essential if two things apply: without it, you cannot use the app as agreed. And you may rely on us complying with it. One example is that we store your data securely. In this case, we only compensate for the damage that is typically to be expected with an app of this kind.

11.4 In all other cases, we are not liable for slight negligence.

11.5 Your claims under data protection law continue to apply regardless of sections 11.3 and 11.4.

11.6 Insofar as our liability is limited, this also applies to our managing directors and to everyone who works for us.

12. Final provisions

12.1 German law applies. If you live in another country as a consumer, you additionally retain the protection of the mandatory consumer rules of your country of residence.

12.2 How we process your data is explained in the Privacy Policy. It is information and not part of this contract.

12.3 For downloading the app, the terms of Apple's App Store or Google Play also apply. Only we are the contractual partner for the app. Apple and Google are not responsible for the app, for support or for defects of the app.

12.4 If you have a problem with us, please write to us: [email protected]. A consumer arbitration board is a body that settles disputes between customers and companies out of court. We are neither obliged nor willing to take part in dispute resolution proceedings before a consumer arbitration board.

Annex: Withdrawal instructions

First of all

The app is free. You have not paid us anything, so there is nothing to be refunded after a withdrawal, and you do not owe us anything either. After a withdrawal, we delete your account (sections 10.4 and 10.5).

Parents do not have to withdraw or observe any deadline: they can have their child's account deleted at any time (section 3.4).

The following text is prescribed by law in this form. This is the only reason it mentions payments and delivery costs.

Withdrawal instructions

Right of withdrawal

You have the right to withdraw from this contract within fourteen days without giving any reason.

The withdrawal period will expire after fourteen days from the day of the conclusion of the contract.

To exercise the right of withdrawal, you must inform us (SquadTics UG (haftungsbeschränkt), Flachsbleiche 120, 41179 Mönchengladbach, Germany, phone: +49 15679 814463, email: [email protected]) of your decision to withdraw from this contract by an unequivocal statement (e.g. a letter sent by post or an email). You may use the attached model withdrawal form, but it is not obligatory.

To meet the withdrawal deadline, it is sufficient for you to send your communication concerning your exercise of the right of withdrawal before the withdrawal period has expired.

Effects of withdrawal

If you withdraw from this contract, we shall reimburse to you all payments received from you, including the costs of delivery (with the exception of the supplementary costs resulting from your choice of a type of delivery other than the least expensive type of standard delivery offered by us), without undue delay and in any event not later than fourteen days from the day on which we are informed about your decision to withdraw from this contract. We will carry out such reimbursement using the same means of payment as you used for the initial transaction, unless you have expressly agreed otherwise; in any event, you will not incur any fees as a result of such reimbursement.

Model withdrawal form

This form is also prescribed by law. You do not have to use it. An email with the sentence "I withdraw from the contract" is enough. You have not bought anything from us; what is meant is the contract for the use of the app.

(Complete and return this form only if you wish to withdraw from the contract.)
